Job Description 

Executive Office Manager

Overview

Healthconnect Texas is actively seeking an experienced executive office manager to oversee the day-to-day management of the corporate office, administrative operations, and executive support functions.  This role serves as the central point of coordination for office operations, facilities management, executive administration, and Board of Directors support. The Executive Office Manager ensures the office operates efficiently, maintains a professional environment, and provides exceptional administrative support to the executive leadership team.

This position requires excellent organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism and confidentiality.

Office & Facilities Management

  • Oversee the daily operations of the office, ensuring a professional, organized, and efficient work environment.
  • Manage office vendors, supplies, equipment, maintenance, and building-related services.
  • Coordinate office events, meetings, and facility needs while serving as the primary liaison with property management.

Executive Support

  • Provide administrative support to the Executive Leadership Team, including meeting coordination for various departments and teams.
  • Manage executive priorities, track action items, and handle confidential information with discretion.

Board of Directors Administration

  • Coordinate all administrative aspects of Board of Directors including scheduling meetings, meeting materials, agendas, minutes, and follow-up.
  • Serve as the primary point of contact for Board communications and maintain Board records and governance documentation.

Administrative Leadership

  • Oversee general administrative operations and identify opportunities to improve office processes and efficiency.
  • Support organizational initiatives, special projects, and company events.
  • Maintain administrative policies, records, and filing systems while ensuring smooth day-to-day operations.

Experience

This position requires 3+ years of experience in executive administration, office management, or a related field, with demonstrated experience supporting executive leadership and coordinating with Boards of Directors. The ideal candidate possesses exceptional organizational, communication, and multitasking skills, exercises sound judgment and discretion, maintains a high level of professionalism, and is proficient in Microsoft 365.

Location

Houston, TX candidates or those willing to relocate will be considered.  This is an in-person role Mon – Fri, 8 am – 5 pm.
